Global Education and Training at the University of Illinois Urbana-Champaign has an opening for an Associate Director for Administration and Operations.
Global Education and Training (GET) is comprised of GET, the Intensive English Institute (IEI), and the Shanghai Office. For over 25 years, GET has provided comprehensive educational and executive training programs to thousands of students and executives from around the world. GET’s programs provide valuable opportunities for individuals and teams to develop global competencies at Illinois and prepare current and future industry leaders to work in diverse, international contexts. For more than 50 years, the IEI has provided a challenging and supportive educational environment where language learners can gain proficiency in English for academic, professional, or other purposes. The Shanghai Office, opened in December 2013, operates as a natural extension of the Illinois-China partnership, serving students, faculty, staff, and alumni through outreach, protocol, and career activities.
Primary Position Function/Summary:
Provide administrative and operational oversight of Global Education and Training (GET), including the Shanghai Office (SO). Manage the administrative and operational effectiveness of GET, with oversight of multiple functions and associated staff.
Statement of Duties & Responsibilities:
* Lead and oversee day-to-day operations of GET while serving as the primary point of contact and liaison for Illinois International units, campus administrative offices, and outside vendors. Manage the administrative and logistical components of GET education and training programs. Ensure work completion within deadlines and constraints and ensure efficient utilization of staff. Oversee GET assigned classroom and office space. Clarify and resolve GET academic and administrative related problems.
* Initiate, oversee, and perform research and data analysis relevant to business planning, policy and procedures development, program evaluation, and decision-making processes. Make recommendations to GET leadership for changes in policies, administrative and operational processes, staffing, space utilization, technology, program participants’ health and safety compliance, and other administrative and operational functions.
* Manage the administrative and operational effectiveness of GET, with oversight of multiple functions and associated staff, including strategic planning, facilities operations and maintenance, human resources, technology, and faculty and staff services for the unit.
* Work with the IBOPS Associate Director for Budgeting and Resource Planning regarding resources to support GET faculty and staff activities and interests. Assist with GET budget development and revenue review analysis, including aligning strategic decision-making with revenue resources. Coordinate with GET faculty and staff to maintain and ensure efficient use of GET resources.
* Provide oversight, management, and training of GET administrative and operational functions, including coordinating onboarding functions of all new hires and separations in collaboration with Illinois International shared services. Manage the hiring, training, and evaluating professional of staff.
* Develops, implements, and continuously evaluates GET’s administrative best practices, policies, and procedures consistent with campus standards to ensure efficient use of administrative resources and to facilitate smooth operations. Ensures GET adherence to University and IIP policies and procedures.
* Bachelor’s degree in business administration, financial management, or a field related to the position.
* Five (5) years of professional business administration, financial management, and/or managerial work experience.
* Demonstrated supervisory experience, including hiring, training, and performance management.
* Demonstrated fiscal and operational management experience.
Preferred: (Successful candidates will have):
* Five (5) years of experience in an international office, or equivalent.
* Three (3) years of supervisory experience, including hiring, training, and performance management.
* One (1) year of cultural experience while studying, living, or working internationally.
* Experience working in higher education or administrative experience.
* Experience working in a globally oriented team environment.
* Demonstrated experience with developing and implementing administrative policies.
* Demonstrated experience of sound judgment and decision-making abilities.
* Demonstrated experience coordinating across diverse administrative units and working with senior management staff on policies and procedures.
Knowledge, Skills, and Abilities (KSAs):
* Knowledge of business operations, finance, facilities, and management principles involved in strategic planning, resource allocations, human resources, leadership techniques, production methods, and coordination of people and resources.
* Familiarity and knowledge of the University of Illinois Urbana-Champaign or a similar research university.
* Strong operational management, organizational, critical thinking, and problem-solving skills.
* Excellent interpersonal and communication skills.
* Skills in planning, organizing, integrating information, making decisions, and obtaining results.
* Ability to analyze, interpret, and explain work related documents, policies, and procedures.
* Ability to identify complex administrative or operational problems and review related information to develop and evaluate options and implement solutions.
* Ability to manage a budget and work within the constraints of that budget.
* Ability to successfully lead, collaborate with, and interact with diverse groups of people.
* Ability to assume responsibility and to work with minimum guidance.
* Ability to effectively organize and prioritize multiple tasks.
* Travel within the US and internationally to represent GET, as needed.

This is a full-time 100% Civil Service Business/Administrative Associate position appointed on a 12-month service basis. The expected start date is as soon as possible after the close date. Salary is commensurate with experience. Immigration sponsorship is not available for this position.
Civil Service employees may earn up to 28 days of vacation leave per year, depending on length of service. The University offers 11 annual paid holidays, 12 cumulative sick leave days, plus an additional 13 non-cumulative sick leave days, if needed, each year.
